Terms and Conditions

1. General

By entering and paying for your entry to this event, you agree to the terms and conditions outlined below. These terms apply to all participants registering for the Event, organized by Cycles 4U

2. Entry Fees and Payment

  • Entry fees must be paid in full at the time of registration through the approved online payment system.
  • All prices are listed in [Namibian Dollars (NAD)] and include VAT (if applicable).
  • Your entry is confirmed only once full payment has been received and a confirmation email has been issued.
  • The Organizers are not responsible for any bank charges, credit card fees, or exchange rate differences that may apply.
  • Cycles 4U shall take all reasonable steps to protect the personal information of users. For the purpose of this clause, “personal information” shall be defined as detailed in the Promotion of Access to Information Act 2 of 2000 (PAIA). The PAIA may be downloaded from: http://www.lawsofsouthafrica.up.ac.za/index.php/current-legislation.
  • Payment may be made via Visa and MasterCard, or by bank transfer into the [YOUR COMPANY] bank account, the details of which will be provided on request.
  • Card transactions will be acquired for [YOUR COMPANY] via DPO Group who are the approved payment gateway for Namibian Acquiring Banks. DPO uses the strictest form of encryption, namely Secure Socket Layer 3 (SSL3) and no Card details are stored on the website.
  • Customer details will be stored by Cycles 4U separately from card details which are entered by the client on DPO’s secure site.
  • The merchant outlet country at the time of presenting payment options to the cardholder is Namibia. Transaction currency is Namibian Dollar (NAD).
  • Cycles 4U takes responsibility for all aspects relating to the transaction including sale of goods and services sold on this website, customer service and support, dispute resolution and delivery of goods.

3. Refunds and Cancellations

  • Entry fees are non-refundable unless the event is cancelled by the Organizers.
  • If the event is cancelled due to weather, safety concerns, or circumstances beyond the Organizers’ control (e.g. government restrictions, natural disasters, etc.), the Organizers reserve the right to reschedule or convert the event to a virtual format.
  • In such cases, refunds may be partial or issued as event credits, at the Organizers’ discretion.
  • Entries are non-transferable to another person unless approved in writing by the Organizers before one week before event date

4. Participant Responsibility

  • By entering, you confirm that you are physically fit, have trained sufficiently, and understand the nature of the event.
  • Participants enter and take part at their own risk.
  • You are responsible for ensuring that your equipment (bike, helmet, shoes, etc.) is in safe working order.

5. Indemnity and Liability

  • The Organizers, sponsors, partners, landowners, and volunteers will not be held liable for any loss, injury, damage, or death arising from participation in the event, except where caused by gross negligence.
  • Participants acknowledge that mountain biking and trail running involve inherent risks, including but not limited to falls, collisions, and environmental hazards.

6. Event Rules

  • Participants must obey all instructions from event officials and marshals.
  • Helmets are compulsory for all cycling disciplines.
  • Unsportsmanlike behavior or disregard for safety may result in disqualification without refund.
  • The Organizers reserve the right to make changes to the course, schedule, or rules where necessary.

7. Personal Information

  • By registering, you consent to the collection and use of your personal information for event administration, safety, and communication purposes.
  • Photographs and videos taken during the event may be used for promotional purposes by the Organizers.

10. Country of domicile

This website is governed by the laws of Namibia. Cycles 4U chooses as its domicilium citandi et executandi for all purposes under this agreement, whether in respect of court process, notice, or other documents or communication of whatsoever nature

11. Variation

Cycles 4U may, in its sole discretion, change this agreement or any part thereof at any time without notice.
